SCC Responsibilities

ÉWCSCC Executive Member Responsibilities

The Chairperson will:
 
  • Conduct meetings of the Council
  • Ensure that all members have input to discussion and decisions 
  • Oversee operations of the Council  
  • Establish networks that support the Council 
  • Act as a spokesperson for the Council 
  • Receive and send correspondence on behalf of the Council 
  • Complete the SCC Activity Report and send it to the Prairie Valley School Division by end of June 
  • Be one of the three signing officers
 
The Vice-Chairperson will: 
 
  • Support the Chairperson in his/her duties; taking over when the Chairperson is unable to fulfill any of his/her duties  
  • Perform responsibilities assigned by the Chairperson 
  • Be one of the three signing officers 
 
The Secretary will: 
 
  • Prepare meeting agendas in consultation with the Principal and other Council members 
  • Take minutes at Council meetings and distribute to all members 
  • Take charge of any official records of the Council 
  • Maintain a membership list of all members of the Council 
  • Ensure that appropriate notice is given for all meetings of the Council The Treasurer will: 
  • Deposit all funds into the Council account 
  • Be responsible for and report on the accounts of the Council 
  • Be one of the three signing officers 
  • Draft a budget and tentative plan of expenditure with the assistance of the Council Executives 
  • Submit Mid-Year Financial Reports to the Finance Department of Prairie Valley School Division by March 31. 
  • Ensure that the Chairperson will have access to the books in the event of his/her absence 
  • Submit an annual financial report to the Prairie Valley School Division head office by September 30th of each year.
 
The Past Chair will: 
 
    • Serve as a consulting role to support the Chair and Vice Chair The Members at Large will: 
    • Represent parents of students enrolled at École White City School when making decisions 
    • Support the Council Executives in their duties 
 

ÉWCSCC Committee Responsibilities

To work toward the common goal of the committee by:
 
  • Sharing and distributing tasks among members 
  • Regular attendance at monthly meetings 
  • Monthly updates on progress of committee events 
  • Communicating between members within a committee to ensure all are kept informed of the progress of the committee
 
Chairs*/Co-Chairs:
 
  • Will oversee the committee 
  • Will attend monthly meetings on a regular basis  
  • Will utilize all members of the committee; delegating when necessary 
  • Will facilitate all volunteers in some capacity 
  • Will keep all members of the committee informed of any occurrences, decisions, and/or tasks necessary to complete a/the goal(s) of the committee 
  • Will keep Council informed of the status of committee goals on a monthly basis 
  • Have voting rights on matters requiring a formal vote.  Each Committee will have one vote. 
  • Will submit a review of their Committee’s year to the Secretary as part of the Annual General Meeting reporting.  
  • *No one person will be Chair of more than one committee; but may be a member of more than one committee
 
Any committees handling money will work in conjunction with the Treasurer by reporting all financial transactions (expenses, costs, profits, etc.) prior to each monthly meeting, thereby ensuring accountability and transparency.
